How to Create and Organize Block Categories

Block Categories are the backbone of how data is grouped and permissioned inside Ex.Brain. Think of each category as a folder with rules: it tells Ex.Brain what kind of information it contains, which teams or locations can access it, and how that data should be interpreted.

Organizing your Blocks into smart, relevant categories ensures:

  • Secure access for the right people
  • Better answers from your AI
  • A clean, scalable knowledge base

Step-by-Step: Creating Block Categories #

Step 1 – Navigate to Block Categories #

  1. From your left sidebar, click Block Management
  2. Then click on the “Block Categories” tab at the top of the page

Step 2 – View or Edit Existing Categories #

  • You will see a list of default Block Categories created during sign-up (like Finance, HR, Meetings, etc.)
  • Click on any category to edit it and review its settings

Assign Access to Permission RolesSelect which Access Levels should be able to view or manage Blocks in this category. This is essential for controlling visibility.
Assign to Workspace(s)Choose which Workspaces (a.k.a. branches or locations) this Block Category applies to. A category can be shared across multiple locations.

Why Access & Workspace Assignment Matter #

Block Categories help enforce data security and role-based visibility. For example:

  • A “Payroll” category should only be visible to Finance Managers at HQ
  • A “Menu Photos” category might be shared across all restaurant branches

The combination of:

  • Permission Roles (Access Levels)
  • Workspace assignment …ensures that the right people see the right information—and nothing more.

Pro Tips for Block Category Setup #

  • Use clear, specific names like “Training Docs” or “Legal Policies”—not “Stuff” or “Misc”
  • Group datasets by function, department, or process
  • Set up categories before uploading files, so you can assign them instantly during upload

You can edit, rename, or delete categories at any time.
