Creating Blocks is only half the story. The real power of Ex.Brain comes from how well you name, organize, and structure them.

When Blocks are properly named and categorized, it:

  • Helps Ex.Brain give more accurate answers
  • Reduces confusion across teams
  • Improves search results and filters
  • Enforces better data hygiene

 

This guide shares naming conventions, category planning, workspace logic, and organization tips for long-term success.

Naming Blocks: Best Practices #

  1. Be specific and descriptive
    • ✅ “Q4 Sales Report – NYC”
    • ❌ “sales” or “report”
  2. Include dates when relevant
    • Use a consistent format (e.g. YYYY-MM or YYYY-QN)
    • Example: “Employee Handbook – 2024-01”
  3. Mention the target audience if useful
    • “Franchise Training – Managers” vs. “Franchise Training – Staff”
  4. Avoid abbreviations or internal lingo unless widely known

Organizing by Category #

Block Categories are essential for:

  • Access control
  • Team-based search
  • AI understanding

Tips:

  • Keep categories function- or process-based, not vague
    • ✅ “Marketing Campaigns”, “Hiring SOPs”, “Menu Assets”
    • ❌ “Stuff”, “Old Docs”, “General”
  • Don’t overload one category with hundreds of Blocks
    • Create subcategories if needed (e.g. “HR – Policies”, “HR – Contracts”)

Pro Tip: Think of categories as departments or recurring workflows, not file types

Assigning Workspaces Properly #

Each Block must be assigned to at least one Workspace (e.g. location, department, or team). This ensures:

  • Only relevant team members can see or access that Block
  • AI answers stay context-specific (e.g. a Branch Manager won’t see another region’s HR files)

Examples:
- Training SOPs for “Austin Branch” → Assign only to that workspace
- Financial Policy for HQ → Assign to all Workspaces under Finance

Structuring Your Data by Lifecycle or Team #

If you manage a lot of content, you can structure Blocks using naming prefixes or lifecycle logic:

By Lifecycle:

  • “Draft – Product Launch Plan”
  • “Final – Employee Benefits Overview”

 

By Department:

  • “[HR] Interview Guide – 2024”
  • “[Finance] Q1 Forecast – Canada”

 

Use consistent brackets, colons, or dashes across your team

When to Clean Up or Reorganize #

  • Every 3–6 months, review Block Categories and Inventory
