Understanding the Block Inventory

2 min read

The Block Inventory is your centralized control panel for every Block you’ve created or imported in Ex.Brain. This is where you can:

  • Search and filter Blocks
  • Edit or reassign categories and access
  • Monitor Block processing and sync status
  • See which files are attached, when they were added, and by whom

It’s a combination of a searchable archive, permissions dashboard, and AI dataset manager.

How to Access Block Inventory #

  1. Click on Block Management from the left sidebar
  2. Make sure you’re on the “Blocks” tab
  3. Scroll past the Upload/Integration area — below that is the full list of Blocks

What You See in the Inventory Table #

  • Update name or description
  • Reassign category or workspace
  • Download attached files
  • Delete or archive it

Filter & Search Capabilities #

Use filters to quickly find Blocks based on:

  • Category (e.g. only show Marketing Blocks)
  • Location (e.g. only Blocks from New York branch)
  • Creator (e.g. only files uploaded by you or a teammate)
  • Integration Source (e.g. show only QuickBooks data)

The search bar supports keywords, partial matches, and date ranges.

Example: type "2023 revenue" to instantly pull related Blocks across categories

Editing a Block from Inventory #

Click the Edit icon on any Block to change:

  • Name
  • Description
  • Block Category
  • Assigned Workspace(s)
  • Access Level Permissions (indirectly via category)

Pro Tip: You can’t change the file itself—but you can delete and reupload with new metadata if needed.

Bulk Actions (Coming Soon) #

You’ll soon be able to:

  • Select multiple Blocks and reassign categories
  • Delete/archive in bulk
  • Tag or label Blocks for sorting

This will speed up maintenance for larger organizations.

Why It Matters #

The Block Inventory is how you:

  • Maintain data hygiene
  • Protect sensitive content
  • Enable AI access with clarity
  • Ensure your knowledge base evolves as your team does

Well-maintained Blocks = better AI answers, cleaner permissions, faster workflows.
