Understanding Primary Brand, Sub-Brands & Workspaces

In Ex.Brain, your organizational structure is mapped using a Brand Hierarchy. This system mirrors the way real-world enterprises are built — allowing you to control access, assign responsibilities, and give Ex.Brain the context it needs to deliver smarter, more relevant answers.

Here’s how it works:

  • Primary Brand → Your overall organization (the top-level entity)
  • Sub-Brands → Divisions, brands, or operating units under your main organization
  • Workspaces → Individual teams, business locations, or regions inside each Sub-Brand

What Is a Primary Brand? #

Your Primary Brand is the highest-level identity in your Ex.Brain account — like the umbrella under which all other parts of your organization operate.

  • You can only have one Primary Brand.
  • All Sub-Brands are connected to this root identity.
  • It’s used for billing, email communications, admin access, and analytics at the company-wide level.

Example:
A hospitality group like “Zenith Hotels Group” owns and operates 12 different hotel brands — each with unique services and target markets. The group itself is the Primary Brand, while each hotel brand becomes a Sub-Brand.

What Is a Sub-Brand? #

A Sub-Brand represents a key operating unit or division under your Primary Brand. You can create multiple Sub-Brands depending on your plan.

Sub-Brands are commonly used by enterprises for:

  • Different business entities (e.g. brand portfolios in M&A firms)
  • Departments like Sales, HR, Operations, or Customer Success
  • Market-facing units like Airline Divisions, Car Dealership Chains, or Regional Hospitality Brands

Each Sub-Brand has its own identity and may operate independently, but still shares governance from the Primary Brand.

What Is a Workspace? #

A Workspace is a localized or specialized unit inside a Sub-Brand — typically used for team management, location-specific access, or operational grouping.

You define the name and purpose during onboarding (e.g., “Chicago Office”, “Maintenance Division”, “Oil Field 47”)

Each Workspace can have:

  • A custom name
  • An optional physical address
  • An optional website or internal portal URL

     

Workspaces are essential for:

  • Assigning team members to the correct location or function
  • Enforcing access levels for data security
  • Categorizing Blocks (datasets) for AI access

Why This Structure Matters #

Using this hierarchy ensures:

  • Access Control: You decide who can see what, at every level.
  • Data Precision: Ex.Brain only references Blocks the user is allowed to access.
  • Scalable Setup: You can grow or restructure your organization easily.

Example:
A private equity firm managing 8 manufacturing companies can structure:
- One Primary Brand for the firm
- One Sub-Brand per acquired company
- Multiple Workspaces for different factories or departments

This way, a regional HR manager in Company A won’t see Company B’s records — unless permission is granted.
