In Ex.Brain, every Sub-Brand contains one or more Workspaces, which represent the operational units of your business. A Workspace could be a hotel branch, airport terminal, dealership location, care facility, office unit, or service department—whatever best reflects your real-world structure.
Workspaces are the most actionable level in your brand hierarchy. They allow you to:
- Assign departments and employees to the right physical or functional locations
- Control data access, team visibility, and AI permissions at a granular level
- Group operations for better reporting, management, and integration control
Tip:
You define your own term for “Workspace” (e.g., Branch, Location, Division) during account setup. That label will appear across your Ex.Brain platform interface.
➕ How to Add a Workspace to a Sub-Brand #
Step 1 – Navigate to Business Settings #
- Click the three-dot menu (⋮) in the sidebar
- Select Business Settings
- Scroll to the Sub-Brands section
- Click the Edit icon next to the Sub-Brand where you want to add a Workspace
Step 2 – Add Workspace #
- Scroll down to the Workspaces section at the bottom of the Sub-Brand edit page
- Click + Add Workspace

How to Edit or Rename a Workspace #
- Open the Sub-Brand and locate its list of Workspaces
- Click the Edit icon next to the Workspace
- Update the name, address, or website link
- Click Save Changes
How to Delete a Workspace #
Ex.Brain prevents accidental data loss by checking for any active dependencies before deletion.
Before deleting, Ex.Brain will scan for any connected:
- Blocks
- Employees
- Departments
- Access Roles
If any exist, you’ll see a warning message showing what must be unlinked first.
To Delete a Workspace:
- Reassign or remove all connected items
- Return to the Workspace list and click Delete
Workspace Naming and Custom Labels #
During sign-up, you’re asked to define what “Workspace” means to your business—whether that’s Branch, Location, Unit, or another term your teams are familiar with. This customized label will appear in all menus, forms, and automation flows.
Important:
You cannot change this label after setup. Choose a term your team will understand and consistently use.
Best Practices for Workspace Management #
- Use real-world names: Match Workspace names to what your managers or frontline teams call them (e.g., “Gulf Distribution Plant” or “Hotel Group – Miami”)
- Include both function and geography: Combine role and location for clarity (e.g., “Operations HQ – Dallas”)
- Avoid duplicates: Ensure every Workspace across your Sub-Brands is uniquely named
- Assign correctly: Make sure each Workspace is associated with the correct departments, Blocks, and access levels
Example:
In an airline, Workspaces might be “Cargo Ops – LAX” and “Check-In Terminal – JFK.” For an M&A firm, Workspaces might represent portfolio companies or physical headquarters.
