Uploading files is one of the most important actions you can take in Ex.Brain. This process converts your raw business data—PDFs, slides, Excel sheets, training materials, contracts, etc.—into structured Blocks that Ex.Brain can understand and reference.
Each uploaded file becomes a searchable, permissioned, and intelligent Block tied to a workspace, category, and access level.
Step-by-Step: Uploading a File as a Block #
Step 1 – Open the Upload Interface #
- Go to the left sidebar and click Block Management
- Click on the Blocks tab (this is the default tab)
- Click the Upload File button
Step 2 – Fill Out the Upload Form #
When the modal window opens, you’ll see the required fields:

Block Description | A short explanation of what the file contains. This helps Ex.Brain categorize and summarize it later. | ✅ |

Upload Files | Drag-and-drop or select file(s). Accepted formats include PDF, DOCX, XLSX, PPTX, TXT, JPG, PNG, MP3, MP4, and more. | ✅ |
Step 3 – Save and Process #
After all fields are filled:
- Click Create Block
- Wait for confirmation message (usually a few seconds)
- You’ll see your new Block appear in the list with a status icon showing it’s being processed
Once complete, you can:
- Ask Ex.Brain questions about the content
- View it in Block Inventory
- Add comments, assign tasks, or link it to Meeting or STK sessions

Every input helps Ex.Brain better understand your data:
- The Name and Description improve search, summarization, and documentation exports
- The Category ties it to team roles and permissions
- The Location ensures visibility is scoped to only the right departments or branches

- Always use consistent naming (e.g., “2024 Budget – NY” vs. just “budget.pdf”)
- Don’t skip descriptions—AI performance depends on them If you're unsure where a file belongs, create a temporary Block Category like "Unsorted Docs"
- Upload related files (e.g. training deck + SOP) under the same Block when appropriate
