Understanding the Structure: Brands, Sub-Brands & Workspaces

Ex.Brain is designed for organizations of all sizes—whether you’re a single-location business or a multi-division enterprise with complex operations. Understanding how your account is structured is the foundation for everything else in Ex.Brain.

Key Definitions #

  • Primary Brand
    This is your parent company or organization.
    Every Ex.Brain account begins with a single Primary Brand. It’s your central identity—used for billing, top-level reporting, and administrative control.
  • Sub-Brand
    Sub-Brands represent business lines, divisions, franchises, or owned brands under the Primary Brand.
    You can create as many Sub-Brands as your pricing plan allows. Each Sub-Brand has its own structure, teams, and data access rules.
  • Workspace
    Workspaces are locations, branches, or departments inside each Sub-Brand.
    You can think of them as the operational units within a Sub-Brand—defined by geography (e.g., “San Francisco Office”), business function (e.g., “R&D Lab”), or both.

Each Workspace can include:

    • A unique name (e.g., “NYC Hub”)
    • A physical address (optional)
    • A website URL (optional)

Why This Structure Matters #

Your entire permission and data system in Ex.Brain is built on this foundation.

Here’s how it works:

  • You assign employees to specific Workspaces  Access Level.
  • You assign Blocks to Block Categories and Workspaces.
  • You create Departments for each Workspace.
  • You define Access Levels based on Ex.Brain features and Block Categories.

This structure allows you to:

  • Control who sees what—by brand, location, or role.
  • Ensure Ex.Brain responds only with information the user has permission to access.
  • Prevent data leakage across divisions, brands, or departments.

A user in the Chicago Hub would only access the Blocks, reports, and AI interactions they’re authorized for in that Workspace—nothing else.
