How to Create and Edit Departments

Departments in Ex.Brain are functional groups that help you organize your team by responsibilities and assign access appropriately. Common examples include HR, Marketing, Finance, Customer Support, and Operations.

You can create departments manually or use the pre-filled suggestions based on your business type (enterprise or small team).

Where to Manage Departments #

  1. Go to the left sidebar
  2. Click on Team Management
  3. Open the Departments tab

How to Create a New Department #

Click the Add Department button and fill in the form below.

Fields to Complete:

Department Name

A clear label like “Sales” or “Legal”

Description

Optional note to help Ex.Brain understand this team’s role

Assign Branches (Workspaces)

Choose one or more Workspaces where this department operates

Department Manager

Pick an employee (already added) to be responsible for this department

Parent Department

Optional—used to group departments under broader categories

How to Edit a Department #

From the Departments list:

  1. Click the Edit (pencil) icon next to any department
  2. Modify any field (name, description, assigned workspaces, etc.)
  3. Save changes

Edits update immediately across all related teams and access roles.

How to Delete a Department #

Departments can only be deleted if:

  • No employees are assigned to them
  • The department is not referenced in any active Access Level configuration

If dependencies exist, Ex.Brain will display a warning popup explaining what needs to be reassigned or removed first.

Best Practices #

  • Match department names to your real-world org chart
  • Use descriptions to help future admins or new managers understand the department’s scope
  • Assign each department a clear Workspace or region
  • Set Department Managers for accountability and visibility
