Recording meetings in Ex.Brain is designed to be simple, fast, and highly customizable. You can start recording instantly or schedule one in advance with detailed metadata and organization context.
Whether you’re meeting solo or with a team, everything is transcribed, structured, and prepared for AI-powered insights.
Step 1: Open the Meeting Organizer #
- From your left-hand sidebar, click Meeting Organizer.
- In the bottom right corner, tap the purple microphone button.
- Choose one of two options:
- Start Recording Immediately – for impromptu calls or live note capture
- Start with Recording Details – to schedule a meeting and add metadata
Tip: If your meeting is important for training, compliance, or stakeholder follow-up, always use the detailed setup to maximize search and analysis later.
Option 1: Start Recording Immediately #
Use this when you want to capture something right away:
- Click Start Recording Immediately.
- Ex.Brain will begin recording and transcribing live.
- Once the meeting is over, you can finalize it, assign speakers, and generate documents.
Option 2: Schedule a Meeting with Details #
If you want full control over your meeting data:
- Click Start with Recording Details.
- Fill out the meeting form:
- Meeting Title: Name your meeting so you can reference it easily later.
- Language: Choose from 20+ supported languages. Default is English.
- Meeting Category / Subcategory: Organize your meeting under strategic, operational, sales, HR, or custom categories.
- Start & End Time: Define when the meeting happens (for scheduling integrations, coming soon).
- Repeat (coming soon): For recurring weekly, monthly, or quarterly sessions.
- Privacy & Sharing (coming soon): Control access per participant or team.
- Add to Ex.Brain: Toggle ON to automatically save the transcript and documents as searchable knowledge blocks.
- Add to Reports (coming soon): Flag this meeting for inclusion in auto-generated reports.
- Meeting Title: Name your meeting so you can reference it easily later.
- Click Schedule Meeting to confirm and launch recording when it starts.

What Happens During the Recording? #
Once your meeting starts:
- The transcript builds in real-time.
- Each speaker is identified by number (e.g., Speaker_01).
- After the meeting, you can assign real names to those speakers.
- The system uses speaker diarization to differentiate who said what.
Note:
You can pause the meeting at any time. Ending the session will prompt you to confirm before saving.
